Terms of Service

These Terms of Service ("Terms") govern your use of Business Card Scanner PRO ("BCS PRO", "the Service", "we", "us", "our"). By signing up for or using the Service, you agree to these Terms. If you do not agree, you must not use the Service.

BCS PRO is operated by Glenn Bancroft trading as Arete AI, a sole trader based in the United Kingdom (the "Provider").

1. The Service

BCS PRO is a web-based tool that lets you upload a photograph of a business card and automatically extract the contact details, which are then saved directly into your own Google Contacts and your own Google Sheets account. The Service is accessed through your web browser and does not require you to install any software.

2. Eligibility

You must be at least 18 years old and have a valid Google account to use BCS PRO. By using the Service you confirm that you are a business user — BCS PRO is a professional tool intended for business use, not a consumer product.

3. Your Account

To use BCS PRO you must sign in with a Google account and grant the permissions described on the consent screen. You are responsible for maintaining the security of your Google account and for all activity that takes place under your BCS PRO account.

You can revoke BCS PRO's access to your Google account at any time from myaccount.google.com/permissions. Revoking access will stop the Service from working, but will not automatically cancel any paid subscription — you must cancel separately (see section 7).

4. Pricing and Free Trial

BCS PRO offers a free trial consisting of a limited number of scans, after which continued use requires a paid subscription. Current pricing is displayed on the BCS PRO website and in the checkout flow provided by Stripe. All prices are in pounds sterling (£ GBP) and exclude VAT unless otherwise stated.

We may change our pricing from time to time. If we change the price of an existing subscription, we will give you at least 30 days' notice by email before the new price takes effect. You can cancel at any time if you do not wish to continue at the new price.

5. Payment

Paid subscriptions are billed monthly (or annually, where that option is offered) through Stripe. By subscribing, you authorise us to charge your chosen payment method on a recurring basis for the subscription fees. Stripe handles all payment processing — we do not see or store your payment card details.

If a payment fails, we may suspend your access to paid features until payment is received.

6. Acceptable Use

You agree to use BCS PRO only for lawful purposes and in accordance with these Terms. In particular, you agree that:

  • You will only upload photographs of business cards that have been given to you in a business context where the person providing the card would reasonably expect you to retain and use their contact details.
  • You are responsible for ensuring that you have the appropriate permission or lawful basis under UK GDPR (or equivalent applicable law) to process the personal data contained on any business card you upload to the Service.
  • You are solely responsible for your compliance with data protection law in respect of the contact data you process through BCS PRO. You act as the data controller for that data, and BCS PRO acts as a tool you use to process it.
  • You will not use the Service to upload illegal content, to harass or defraud anyone, to reverse engineer or attempt to access the Service's underlying systems, or to resell, sublicense, or white-label the Service without our written permission.
  • You will not attempt to circumvent the scan limits, usage caps, or any other technical restrictions of the Service.

We may suspend or terminate your access to the Service immediately if we reasonably believe you are in breach of these Terms.

7. Cancellation and Refunds

You can cancel your subscription at any time from your Stripe billing portal or by emailing bcspro@areteai.co.uk. When you cancel:

  • You will continue to have access to paid features until the end of your current billing period.
  • You will not be charged again at the next billing date.
  • We do not offer partial refunds for unused time within the current billing period.
  • Your scanned contacts and spreadsheet log remain in your own Google account — we do not delete, alter, or revoke access to the data you've already saved.

8. Service Availability

BCS PRO is currently in early access. We provide the Service on an "as-is" and "as-available" basis without any warranty of uptime, availability, or uninterrupted operation. We may update, change, or temporarily suspend parts of the Service for maintenance, improvement, or operational reasons without notice.

We will make reasonable efforts to keep the Service running smoothly, but we do not guarantee that it will be free from errors, interruptions, or delays. If a significant outage occurs, we'll aim to notify affected users by email.

9. Intellectual Property

The BCS PRO website, logo, name, design, code, and all associated materials are the intellectual property of the Provider. You may not copy, modify, distribute, or create derivative works from any part of the Service without our written permission.

You retain all rights to the business card images you upload and the contact data extracted from them. We do not claim any ownership over your content.

10. AI Processing

BCS PRO uses third-party AI models (currently Anthropic's Claude Haiku 4.5) to extract contact details from business card images. AI extraction is not always 100% accurate and may occasionally misread fields, particularly on cards with unusual fonts, layouts, or languages. You are responsible for reviewing and correcting any extracted data in your Google Contacts as needed.

11. Limitation of Liability

To the maximum extent permitted by law:

  • BCS PRO is provided without warranties of any kind, whether express, implied, or statutory, including but not limited to warranties of merchantability, fitness for a particular purpose, and non-infringement.
  • We will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of profits, revenue, data, or business opportunities, arising from your use of or inability to use the Service.
  • Our total aggregate liability to you under these Terms, regardless of the cause of action, shall not exceed the total amount you have paid us for the Service in the twelve (12) months immediately preceding the event giving rise to the liability.

Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot lawfully be excluded under UK law.

12. Indemnity

You agree to indemnify and hold harmless the Provider against any claims, losses, damages, or expenses (including reasonable legal fees) arising from your breach of these Terms, your misuse of the Service, or your violation of any third party's rights, including but not limited to data protection rights of individuals whose business cards you upload.

13. Termination

We may suspend or terminate your access to the Service at any time if you breach these Terms, fail to pay for your subscription, or use the Service in a way that harms us or other users. You may stop using the Service at any time by cancelling your subscription and revoking BCS PRO's access to your Google account.

Sections 6 (Acceptable Use), 9 (Intellectual Property), 11 (Limitation of Liability), 12 (Indemnity), and 15 (Governing Law) survive termination of these Terms.

14. Changes to These Terms

We may update these Terms from time to time. If we make material changes, we will notify you by email or through the Service at least 14 days before the changes take effect. Your continued use of the Service after the changes take effect constitutes your acceptance of the new Terms. If you do not agree to the new Terms, you must stop using the Service and cancel your subscription.

15. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes arising from or in connection with these Terms or your use of the Service will be subject to the exclusive jurisdiction of the courts of England and Wales.
